This resource is the tickable data list for a quote request: these are the details from which precise, competitive quotes can be obtained for the building. Its companion is the explanatory article – that is where you can read why each item is needed. With the paperwork in order, putting it together is typically an hour or two of work.
In short:- Six blocks: basic data, structure, dimensions, building systems and extras, claims history, the existing policy.
- Sources: the deed of foundation, the technical documentation, the insurance papers, the claims history certificate.
- No personal data about residents is needed – the list is about the building.
The list
- ☐ Address, land registry details; number of flats; the number and nature of other units (shop, office, garage)
- ☐ Year of construction; major renovations with their dates (roof, façade, building systems, risers)
- ☐ Structure: material of the walls / floor slabs / roof structure and roof covering
- ☐ Number of storeys; the floor area to be insured (flats plus common areas); cellar / loft / underground garage
- ☐ Building systems: type of heating; number and age of the lift(s); pumps; entry and gate technology
- ☐ Extras: solar panels (with their value!), camera system, green roof, other value-adding features
- ☐ Use: the proportion of non-residential space and the activity carried on there
- ☐ Claims history: the claims of the past 3–5 years (type, year, amount paid) plus the claims history certificate
- ☐ Risk reduction already carried out: riser replacement, roof renovation, water detectors and so on
- ☐ The existing policy: sum insured, main covers, annual premium, renewal date
- ☐ Requirements: the add-ons you want, deductible preferences, any special considerations
- ☐ Contact person: the name and contact details of the property manager or the management company
Three tips for filling it in
First: if a figure is uncertain, mark it as such – an “approx.” is better than a confident error, and we can clear it up during the survey. Second: don't dress up the claims history – an honest picture is both required and worth it (why). Third: putting the data list together is a stocktake in itself – many buildings discover here for the first time that their sum insured has not followed reality for years (sizing). Once the data is together: a 20-minute call, and the tendering starts.
